In this page you can set some of the running settings or options for your company.

 


To access the Settings, click on the Account Book Setting > Settings.

 


 

 


 

There are 3 main categories in the Settings page – General, Invoicing and Accounting. Each category has its own breakdown to properly classified the available settings and options to that you can find them easily.

 

 



General


Application Settings



 

Date Format: Select your preferred date format display.

Use live-stock balance in all financial report: Tick this if you wish the system to auto calculate your stock opening and closing value for each month in financial report.

*Enabling this option means that any editing, new or delete of stock related transactions, it will affect your financial report immediately. If you are attempting to compare a financial report that was printed earlier but did some editing later, the reported value might be different.

 


Decimals




This section allows you to set your preferred decimals for numerical values that you can see in the system. Currently you can set for the following type of numerical values: Quantity, Sales Unit Price, Purchase Unit Price, Cost, Percentage, Currency and Currency Rate.

 

Display fixed size decimal: Tick this if you wish to see a fix size numerical number. Untick this if you wish to truncate or not show the 0 value of the decimals

As you can see from the examples on the table, if you did not tick the “Display fixed size decimal”, any 0(s) will be truncate or cut off and vice versa. Showing a number 1.238 and 1.2380 is the same meaning, so this will depend on your viewing preference to decide if this option you want to enable or not.

 


Account Code Format


 


This section allows you to specify your account code format which is used at Chart of Account, Debtor and Creditor.

Account Code Format: To set the account code format for your GL accounts. Free format is also supported by leaving this field blank.

*By changing the Account Code Format, it will only reflect on your new GL accounts, old GL accounts will maintain as your previous saved format.

Automatic Generate Debtor / Creditor Code Format: To set the format for auto generating debtor or creditor code. The length for this code format shall be the same with Account Code Format.

 


Tax



 

This section allows you to set your Tax System between “No Tax”, “GST” or “SST”.

*You will not see any tax related function if you choose “No Tax”.

 


Inventory



 

This section allows you to set your Inventory System between “Inventory Periodic System” or “Perpetual Inventory System”. This is usually set when you create your company account book. This option is not allowed to change if you already have any stock related transactions.

 




Invoicing


Customize Invoicing



 

Allow enter accounting data only in Sales and Purchase documents: Tick this if only wish to key in accounting entries without Products in Sales and Purchase entries.

*This function is usually for users that wish to perform accounting entries and not running any inventory control in the system.

 


5 Cents Rounding



 

This section allows you to set your rounding setting for each transaction entries. There are 3 options available:

 

Disable 5 cents rounding: No rounding will be applied.

 


Enable 5 cents rounding: Rounding is optional, a “5 Cents Rounding Adj.” checkbox will be provided. Tick the checkbox to perform rounding.

 

 


Enforce 5 cents rounding: Rounding is applied and cannot be changed.

 




Accounting


Default Journal Type



 

This section allows you to set the default posting journal type for each different type of transaction entries. The posting journal will be reflected and can be filtered in some of the accounting reports such as Ledger and Journal of Transaction.



Default Journal Description



 

This section allows you to set the default posting description for certain automated function which you cannot specify at entry such as Rounding.

 


Default Debtor & Creditor



 

This section allows you to default values into some common fields when create Debtor or Creditor. By specifying a value over here such as Debtor’s Sales Agent, every time when you create a new Debtor, the Sales Agent field will auto capture the default value set over here and you do not need to set it.
