Introduction
In the e-Invoice era, minimizing human errors during invoice creation is crucial, as making amendments after an invoice has been validated as an LHDN e-Invoice can be complex and time-consuming. With AutoCount Cloud Accounting's approval workflow, you can establish a process that requires your superior's approval before an invoice is sent for validation.
This guideline is designed to help you set up the approval workflow effectively.
Concept of AutoCount Cloud Accounting Approval Workflow
Please review the information below to understand the approval workflow in AutoCount Cloud Accounting before setting it up.
The process begins with the creation of a draft. You can then submit it to your superior for approval, moving it to the "Awaiting Approval" stage. If the draft is rejected, you'll need to create a new draft invoice. If no one approves the draft and it expires (you can set the expiration period), it will be marked as "Expired".
Once approved, the document moves to the "Approved" status, where it can then be submitted to LHDN for validation. Depending on the submission, the LHDN e-Invoice status will be marked as either "Valid" (indicating a successfully validated LHDN e-Invoice) or "Invalid" (indicating an error in the validation process). If necessary, you can void a validated LHDN e-Invoice within 72 hours, and the system will submit it to LHDN as a cancelled e-Invoice.
Set up Approval Workflow
1. Go to ‘Settings’ under Settings Icon, and you will be redirected to the Settings.
2. Click ‘Approval Workflow’ under ‘General’. Kindly tick the box next to the documents you wish to set for approval.
3. Kindly set the number of days after which unapproved documents will automatically expire, based on the modification date. Once done, kindly click ‘Save’ button.
Note: If you set the expiration period to 10 days, it means that documents not approved within 10 days will automatically become expired.
Set User Access Rights to Create Draft Documents Only
Follow the steps below to configure the user’s access to create draft documents only.
1. Go to ‘User’ under Settings Icon, and you will be redirected to the User Role Setting page.
2. Click ‘Edit’ next to the user you want to set with access rights to create draft documents only.
3. As an example, if you want to restrict your Sales Coordinator to only creating draft sales documents, please select the ‘Only create draft Sales documents’ access right for them.
